How it works

What does working with Karen's Co. actually look like day to day?

It depends on the level of support you have in place, but in general you can expect consistent communication, organized systems, and someone paying attention to the details so you don't have to. Most clients find that within the first few weeks things that used to slip start getting handled before they become problems.

Do you work with more than one client at a time?

Yes, but deliberately and carefully. Every client works directly with me, and I only take on what I can support well. You will never be passed off to someone else or find yourself competing for attention.

What industries do you work with?

Primarily service-based small businesses across the Maritime provinces. Trades, contractors, consultants, solopreneurs, and small teams are a natural fit, but the work translates well across industries. If you run a service business and the operational side is taking more of your time and energy than it should, we're probably a good fit.

Do you work remotely?

Yes, entirely. All support is delivered virtually, which means geography is never a barrier. That said, the Maritimes is home and there's something to be said for working with someone who understands the market.

Pricing and Packages

What do your packages cost?

Support starts at $750 per month for The Foundation and $1,500 per month for The Anchor. Both are starting points. The details get worked out during the intro call based on how your business actually operates and what level of support makes sense.

Are there any setup fees or long-term contracts?

No long-term contracts. Support is provided on a monthly basis with a 30-day notice period if either party decides to make a change. A one-time onboarding fee applies to new clients to cover initial setup, access configuration, and getting your systems in order. The amount is discussed during the intro call based on your specific situation.

What if my needs don't fit into one of the packages?

That's exactly what the intro call is for. The packages provide a starting point and a price range, but the work is always shaped around how your business actually operates

The VA Distinction

Is this the same as hiring a virtual assistant?

Not quite. Virtual assistants typically handle specific tasks as directed. What I do is different. I look at how your business operates as a whole, identify where things are slipping or could run more smoothly, build systems to address them, and keep things moving consistently without needing to be told what needs to happen next. Less task-taker, more operational right hand.

Do I need to manage you or tell you what to do each day?

No, and that's rather the point. Once we've established how your business runs and what support looks like, I work proactively. You should feel the difference in how your business runs, not spend time managing the person you brought in to make things easier.

Getting Started

How do I know if I'm ready for operational support?

If you're regularly dropping balls, spending more time on admin than on your actual work, or feeling like your business is running you rather than the other way around, you're probably ready. The intro call is a good place to simply talk through where things stand and whether support makes sense right now.

What happens after the intro call?

If we're a good fit, I'll follow up with a summary of our conversation and a proposal tailored to your business. From there, we agree on the scope, sign an agreement, and get started. Most clients are up and running within a week or two.

How long before I start to notice a difference?

Most clients feel the shift within the first few days as communication gets cleaner and the daily details start getting handled. The bigger operational improvements, systems, documentation, and consistent workflows tend to settle in over the first 60 to 90 days.

Confidentiality and Trust

Will my business information stay private?

Absolutely. Every client agreement includes a confidentiality clause. What happens in your business stays in your business. I work with multiple clients across different industries and that separation is something I take seriously.

How do I know I can trust someone with access to my business?

That's a fair question and an important one. Trust is built over time, not assumed. The intro call is as much about you getting a sense of who I am and how I work as it is about figuring out what support looks like. If it doesn't feel right, there's no obligation to move forward.

What tools do you use?

That depends on what you already have in place. I work within your existing systems where possible. For clients who don't yet have a professional setup, I can help get the right tools in place as part of getting started, including professional email, organized file storage, and the basic infrastructure a well-run business needs.

How do you access my inbox or systems?

Through delegated or shared access set up within your existing platform. If you're already on Google Workspace, this is straightforward. If you don't yet have a professional email setup, that's something we can sort out together early in the process. Either way, access is handled securely and professionally, and everything is documented in your agreement.

What if I use Microsoft instead of Google?

Microsoft setups can also be configured for shared access, though Google Workspace tends to make delegation simpler for this type of working relationship. If you're not yet set up with either, I'll recommend the option that makes the most practical sense for you and your business.

What if it isn't working out?

Either party can end the arrangement with 30 days written notice. There are no penalties and no awkward conversations. If something isn't working, I'd rather know sooner than later so we can either fix it or wrap up professionally. The goal is always a working relationship that actually works.

What happens to my systems and files if we part ways?

Everything built for your business belongs to your business. Documents, systems, processes, and access are all yours. The transition is handled cleanly so nothing gets lost and you're not left scrambling.
